Refund & Cancellation Policy

We want every athlete to have a great experience. If your plans change, here is how refunds and cancellations work for ARKofUSA camps.

1. Camp Registration Refunds

Refund eligibility is determined by how far in advance of the camp start date you submit your cancellation request.

Less than 7 days before camp start date No refund

The cancellation date is the date on which we receive your written cancellation request, not the date you decide to cancel. Please ensure you submit your request promptly.

2. How to Request a Refund

To request a refund, send an email to arkos-2@polsia.app with the following information:

  • Athlete's full name
  • Parent/guardian name (if applicable)
  • Camp location and dates
  • Registration tier (Day Pass, Full Camp, or Elite)
  • Email address used during registration
  • Reason for cancellation (optional, but helpful)

You will receive an email confirmation once your cancellation request has been received and processed.

3. Tier Upgrade and Downgrade Policy

Upgrades

You may upgrade your registration tier (for example, from Day Pass to Full Camp, or from Full Camp to Elite) subject to availability. To request an upgrade, email us at arkos-2@polsia.app. You will be charged the difference between your current tier and the new tier.

Downgrades

Tier downgrades are permitted if requested 14 or more days before the camp start date. The difference in price between your original tier and the new tier will be refunded. Downgrade requests made fewer than 14 days before the camp start date will not be eligible for a refund of the difference.

4. Camp Cancellation by ARKofUSA

If ARKofUSA cancels or reschedules a camp for any reason, all registered participants will receive a full refund (100%) of their registration fee.

In the event that we need to cancel or significantly reschedule a camp, we will:

  • Notify all registered participants as soon as possible via the email address provided during registration.
  • Offer the option to transfer your registration to another camp location or date, if available.
  • Process a full refund for those who prefer not to transfer.

5. Weather and Force Majeure

In the event of severe weather, natural disasters, public health emergencies, government orders, or other circumstances beyond our reasonable control ("force majeure events"), ARKofUSA will make every reasonable effort to reschedule the affected camp dates.

If we are unable to reschedule, all affected participants will receive a full refund (100%) of their registration fee.

Partial weather disruptions (such as a shortened camp day due to a passing storm) that do not result in full cancellation are not eligible for refunds, though we will make best efforts to deliver the full camp experience.

6. Refund Processing Time

Approved refunds will be processed within 7 to 10 business days from the date your cancellation request is approved. Refunds will be returned to the original payment method used during registration.

Please note that your bank or payment provider may take additional time to reflect the refund on your statement.

7. No-Shows

Participants who do not attend camp without submitting a cancellation request will not be eligible for a refund. If you are unable to attend, please submit a cancellation request as early as possible.
